  • Tips for Exhibiting

Your booth: 8×10 and 8×20 booths are enclosed with an eight-foot draped backwall and three-foot sidewalls The 8×10 booths are supplied with one six-foot draped table, two chairs, a small waste basket an ID sign and four tickets for your staff working the booth. The 8×20 booths get two six-foot tables, four chairs, two waste basket an ID sign and eight tickets for your staff. 

Obstructions – Aisle and exits, as designated on approved show plans, shall be kept clean, clear and free of obstacles. Booth construction shall be substantial and fixed in position in specified areas for the duration of the show. Easels, signs, etc., shall not be placed beyond the booth area into aisles.

Important Note to Exhibitors about Rigging: All rigging inside booths must be performed by dedicated labor. This includes truss supported LED lighting walls. For more information please contact NECANN’s general contractor [email protected]

Exhibitor Move in: 

Friday, May 8, 2026 11:30am-2:30pm

Exhibitors are allowed to perform their own material handling, provided they meet all of the following criteria:

  • Personnel performing the work must be bonafide, full-time employees of the exhibiting company.
  • Exhibitors may load/unload uncrated materials from a mini-van, car, station wagon, pick-up truck or box truck owned by the exhibiting company.
  • Exhibitors may use only hand-operated equipment, which they have provided; two-wheeled hand trucks and four-wheeled flat carts are permitted.
  • Exhibitors choosing to handle their own materials are responsible for their own storage during the show.

The facility requires that the official material handling contractor, Capital Conventions, off-load all equipment and display materials for ALL common carrier and van line trucks. The use of fork trucks, pallet jacks and lift gates are only permitted by personnel of Capital Convention Contractors.

Shipping Information:
Freight Handling charges apply. If sending freight, please set up a Freight Handling order with Capital for this service so we’re aware you will require Freight Handling Services. This will help streamline the process and ensure your shipment is in your booth space when exhibitor move-in starts.

Outbound shipments: 

Drivers for all carriers must be checked in at the Capital Exhibitor Service Desk for pickup of freight by: May 9, 2026 3:30 PM

Excessive trash and booth abandonment

  • Note that any excessive trash which consists of display materials, carpet, padding, crates and/or pallets will be disposed of and charged both a handling fee and disposal fee during exhibitor move-out.
  • Any excessive materials left in the booth at the end of the event will be considered trash.

NECANN EXHIBITOR DEADLINES

All exhibitors must register booth staff by May 4, 2026 to get a free booth staff ticket. After May 4, exhibitors must pay for new registrations.

Will cannabis be available at the event? No, cannabis isn’t available for sale 

Do I need a medical card to attend? No

Are pets allowed? No. Only registered service animals

Is there an age requirement? Yes. You must be 21+ to attend any part of the event

Is this event handicap-accessible? Yes

What is the refund policy? All ticket purchases are non-refundable

Can I bring a bag/backpack?
YES – Hilton security reserves the right to search all bags/backpacks and may refuse any bag to be allowed in. Food, beverages, and weapons are not allowed in the venue, please see the Doubletree Hilton’s website for full details

Can I leave and re-enter? Yes, but all attendees must wear their event badge and use the badge for re-entry

What if I lose my badge? You can get a replacement badge at registration for a $10 replacement cost

Can I take pictures/video?
NO – videotaping of speakers/programming is not allowed in ANY speaker session. Pictures are allowed on he exhibit floor, but you should get permission before photographing people directly. NECANN & the Doubletree Hilton reserve the right to restrict/deny photography/video recording in any area, at any time, at their sole discretion.

LEAD RETRIEVAL SERVICE

NECANN offers a lead retrieval service through the Captello app. This platform offers the exhibitor the opportunity to customize the interaction with a lead to improve the experience and drive higher ROI at NECANN conventions. Lead retrieval service is optional and is priced at $195 for each different NECANN show in which you exhibit. SCAM ALERT/FRAUDULENT SERVICES

In your online booth profile, the “Public Contact” fields are OPTIONAL, and we recommend that they be left blank until the week of the convention. If you have visible contact information in your profile in the weeks/months leading up to the convention, it WILL be used by scammers to bombard your email and phone number with phony offers to sell you attendee lists, hotel accommodations, shipping, etc. NECANN and our partners NEVER sell our contact information or make it available to 3rd parties. 

Any email or phone offer to sell you an attendee or exhibitor lists, hotel reservations, shipping services, etc. is a scam.
